What personal data we collect and why we collect it

Contracts with you for Goods and Services

We collect your name, email, phone, address and billing addresses and what you have ordered or purchased from us and any messages you send to us.

The information is used for entering into contracts with you, the fulfilment and management of contracts with you, managing and responding to any enquiries you submit, complying with our legal obligations,  upholding our agreements with you and in support of our legitimate business interests such as fraud prevention, maintaining security, and improvement of our business operations and services.

Contact forms

We collect your name and email address along with your message and other business related details (e.g. company name, existing website URL, project title and other business / project related information you may provide us with) when you submit a contact form to us through our website. We keep contact form submissions for customer service purposes and for analysis to improve our business service.

We do not use information submitted through contact forms for marketing purposes, unless you have specifically and explicitly consented to this.

Testimonials

We display testimonials from satisfied customers on our site in addition to other endorsements. With your consent we may post your testimonial along with your name. If you wish to update or delete your testimonial, you can contact us at testimonials@bentleywebdesign.co.uk

Marketing Communications

We collect your name, email address, but only where you have specifically agreed to this by signing up to our mailing list.  While you are signed up to our marketing communications, we may send you information and offers which we think may be of interest to you, by post or email or similar technologies.

Promotions, Competitions

We collect your name, email address and any content you provide when you enter one of our promotions or contests; if you win, we may, depending on the prize need your postal address to deliver it

Comments you post publicly on our website

When you leave comments on our website, e.g. in response to blog articles, we collect the data shown in the comments form, and also your IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Cookies

Cookies are very small text files that are stored on your computer when you visit websites.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Who we share your data with

Banks / Payment Processors

We use MailChimp for email marketing campaigns; when you consent to marketing communications from us (e.g. newsletters or special offers), we may use your name and email information with MailChimp in order to operate the marketing campaign.

Visitor comments may be checked through an automated spam detection service.

Business Transactions

As we develop our business, we may buy or sell all or part of our business. In such transactions, personal information you have shared with us is generally one of the business assets that will be transferred. The transferred personal information will remain subject to the promises made in this privacy notice or subsequent notices to which you have consented.

How long do we keep your data?

We aim to keep your information for as short a period as we can.  If there’s no legal requirement, we’ll only store it for as long as we need to.

We need to keep your information for as long as is needed to provide you with services you have ordered and to comply with our legal and business obligations and interests.

We are required by law to keep account information for 6 years from the end of your contract with us.

For users that register on our website, we  store the personal information you provide in your user profile. All users can see, edit, or delete their own personal information at any time (except they cannot change their username). Our website administrators can also see and edit that information.

We will keep some personal information for a reasonable period after your contract with us has finished, in case you decide to use our services again. We  may contact you about our services during this time if you haven’t opted out of receiving marketing communications from us.

If you leave a comment on our website, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

Your rights

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
